Specialist fayres are a great way to get new bookings

Often enough the costs to participate a single specialist fayre can hike up to well over £2000. Whilst for some business this is the cost of acquiring new bookings and they already factor this on their earnings, others fail to achieve the goals they had when commited to the specialist fayre.

We invest heavily to attract customers in, after all they are not going to stop and have a chat just because you are there. Orgnizing and participating on  fayres require a lot more work than most people antecipate. We think about how to dress the stall, preparing "take-away" material(e.g. leaflets and business cards) and having at least two people available for a very long day at the venue.

In order to help our artists to secure booking at these fayres we designed the sposorship programme, that in conjunction with our own investment on the fayres make sure we become a very attractive to potential customers.

What will we do for you

When attending any event we will professionally promote all our artists, by finding out what the potential customers are looking for and recommending the most suitable acts.

The artists part of the sponsoring programme is designed to maximise the return for you and at the same time reduce the cost and risk of attending a specialist fayre by yourself. 

By signing up for a fayre sponsorship, you will be added on many of our promoted materials and gain prime exposure when compared to the other acts. 

  • Central Stall: We book our stalls on prime locations months in advance, so it is visited by as many potential clients as possible
  • Take-away: We created promotional material that includes(but not limited to) bags, leaflets business cards from the agency and artists so they don't forget about us as they continue on their day.
  • Marketing: Our promotions team will work hard to spread the word. From social media to other ther ways to get the attention of customers, we will get them in.
  • Exclusive discounts: We offer discounted prices for bookings though the event, see details on the section below.
  • On-spot bookings: By keeping your availability calendar up-to-date our team will be able to check if you are free on the event day and , we will get  will try to secure as many bookings there and then, updating the calendar and providing a "booking report" on the following days to the all artists.

What's in it for the clients

Freebies, Discount and Excitement! 

We plan our stalls to look modern and professional. When a client comes in they know exactly what we do and the highlights we brought for the fayre.

All the bookings done though the fayre have a standard 5% discount. This encourages them to make the bookings and mix and match to create their perfect day. The artists part of the sponsorship programme have special prices.

  • Take-away: We created promotional material that includes(but not limited to) bags, leaflets business cards from the agency and artists so they don't forget about us as they continue on their day.
  • Games: We come up with ideas to keep the stall intersting. Like, play to get a £10 gift voucher. If they booked an sponsoring artist, then they'll play for a £50 gift voucher
  • Piece of cake: Booking is easy, we accept many ways to secure the booking. Debit/Credit cards, PayPal, online transfer, kidneys, first-born and more.
  • Bargain: By booking sponsoring artists on the day, they'll benefit of special prices
  • Free event entertainment: Yes! For all bookings on the day we will randomnly select someone to get their booked package free of charge. See example 3 below.
  • 50% entertainment: Come on! For all bookings within the 7 following days of the event we will also randomnly select someone to get their booked package at half price. See example 4 below.

On spot bookings

Everyone likes a bargain! To encourage customers to secure the booking with artists on the sponsorship programme we offer them a great discount on the regualar price. 

  • 20% off for bookings made on the specialist fayre day
  • 15% off within 7 days of the fayre
  • 5% off for any artists not on the sponsorship programme

To be elegible for these bookings the artist must update their calendar as described on the T & Cs . Our team will then have access to add bookings to them while on the fayre(avoiding double-bookings).

* The 15% and 20% discount is applied on the overall amount of the artist booked, reducing the final payout of the artist and agency commission. See more details on the example below

Pratical examples of on spot bookings

Let's set the scene

A bride walks in to the stall and is interested to have a 7 piece band with 1AM finish and a jazz piano during her buffet. Whilst talking to her we find out that the venue is not large enough to confortably suit that size band. Our team will recomend a similar style band that is more appropriate for the venue size.

Example 1: We are booking on the day (20%)

We then proceed to secure that booking. The total amount charged is £2100. Of which £500 for the pianist and £1600 for the band. After discounts the overall amount becomes £1680 ( £400 + £1280 ), from that 20%( £336 ) will be taken as a deposit from the bride to secure the artists for the event. Note that discount is also applied on the agency commission.

On the event day, the client will pay £1344 ( £320 + £1024 ) directly to the artists or alternatively a single payment of £1344 to the agency, which will split and transfer the correct costs directly to each artist.

The same situation without the discount, e.g. normal booking, the final amounts received by the artists would be £400 + £1280.

Example 2: Booking within 7 days (15%)

The artist final payout would become £340 and £1088

The payout

Based on a sponsorship cost of £150 for a band with 4 members (the one used in the example above), if we split the event payout(£1280) by 5 equal shares (to cover the costs) of £256 the investment on the sponsorship is paid out on a single gig. And there is £106 left for a night out!

In comparision, if you were not using an agent and spending £2000 to attend a fayre yourself. The 1/5 share of a £1600 booking would be £320. Meaning that you need at least 7 bookings to recover the costs. While a pianist using half of the revenue of the £500 event would need 8 bookings to recover the costs of attending the fayre.

 

Example 3: A FREE entertainment

This is where it gets interesting... When a client is selected to get everything for free all the artist fees (on the example 1: £320 + £1024) will be paid by the agency directly. The desposit amount will be returned to the customer. 

Example 4: 50% off entertainment

It's still a very good deal! Following the example 2( £340 + £1088 ) on the day of the event the client will pay the artists £140 and £544 respectively and an equal amount will be paid by the agency. The client also gets 50% of their deposit back (£178.50).

 

The catch

There is no catch! As an artist you get paid in the exact same amount as the booking done on the day or within 7 days. All the cost of this offering are covered by the agency. Everything will be sent out after the event like a normal booking.

The client still has to pay the 20% deposit which will remain held until after the event, when will refund any amount due.
